Use Instantly's Email account error Slack event as the start of a repair task, not as proof that an inbox has been fixed. Connect one controlled Slack channel, select the affected campaign and event, assign someone to check the account, then confirm the mailbox is active and the campaign has resumed sending. An alert with no owner can leave a campaign idle just as long as no alert at all.
Instantly's Slack webhook guide, disconnected-account instructions, and campaign-not-sending guide were checked on October 22, 2026. The setup below is based on public documentation. We have not connected a private Instantly or Slack workspace to test the current UI or the exact alert payload.
This article covers detection and ownership. If the account is already disconnected, use the Instantly account repair guide; if a whole campaign is quiet without an account error, start with the campaign diagnosis. Those are different problems.
What Instantly currently supports
Instantly lists Email account error among the events for its old Slack integration. Its help page says the Slack webhook feature requires Hyper Growth or above. The documented flow is Integrations → Apps → old Slack → Add new, create a Slack incoming webhook, paste its URL, choose a Campaign and Event, then add the webhook. Check your actual plan and UI before committing this to an agency procedure: the page names the integration "old Slack," and product labels may change.
The help page does not specify the exact account-error message fields, delivery guarantee, retry behavior or a workspace-wide account selector. Do not promise one webhook covers every campaign or that a Slack notification identifies every cause. Inspect a controlled alert in your own workspace and record what it actually includes.
| Decision | Recommended starting rule | Why |
|---|---|---|
| Destination channel | One monitored operations channel or one client-scoped channel | An alert must reach a person allowed to repair that account without exposing another client's information. |
| Event | Email account error | Reply, bounce and campaign-complete notifications are different queues; mixing them hides urgent sender failures. |
| Campaign scope | Select the campaign shown in the live integration; inventory other campaigns separately | Instantly's documented setup asks for a campaign. Don't assume a single setting monitors the entire workspace. |
| Owner | Name a primary and backup operator | The alert needs a repair decision, not only a reaction emoji. |
| Completion | Record account status and a fresh send/activity check | Reconnection alone does not prove the campaign has eligible leads, an open schedule or remaining capacity. |
Jan showed a related operating pattern in his August 31, 2024 agency automation walkthrough: his Smartlead system checked inboxes daily, sent Slack notices for disconnected accounts and created a human task when repair needed attention. That is a historical Smartlead example, not evidence that he configured this Instantly integration or that its event behaves the same way today. The transferable lesson is to attach an owner and follow-through to the alert.
Set up a safe alert channel
- Choose the owner and channel first. Make sure the operator can inspect Instantly email accounts and the provider connection. For agencies, decide whether the channel can contain client names or sender addresses. Keep Slack access limited to the team that needs the alert. Use a test channel while mapping the actual message contents.
- Create a Slack incoming webhook for that channel. Instantly's instructions link to Slack's incoming-webhook setup. Slack's developer documentation explains that a webhook URL is tied to a channel and is a secret. Store it in the integration settings; never paste it into a public document, ticket or code repository. If exposed, revoke it and make a new one.
- Open Instantly Integrations. Search the Apps area for old Slack, then choose Add new as Instantly currently documents. If it is absent, verify the plan and ask Instantly support which replacement path is supported instead of improvising an unofficial token workflow.
- Paste the Slack webhook URL. Choose the relevant campaign and select Email account error. Save the webhook. Record which campaign and channel this configuration covers, because a future campaign or a renamed channel may need a separate check.
- Test with a safe account. Use a nonproduction or otherwise controlled sender and a documented test method in your own workspace. Confirm a message appears in the intended channel, whether it identifies the campaign and account, and who receives the notification. Do not disconnect a production mailbox just to make an alert fire. If the UI has no safe event test, record the integration as configured but unverified, then verify at the first real event without claiming test success.
Slack says incoming webhook URLs can be revoked if leaked, and that a webhook tied to an archived or unavailable channel may fail. A saved integration setting is therefore not a permanent delivery guarantee. Add a periodic operational check that the channel still exists and its owner is still on the team.
Turn the notification into a repair loop
A small runbook prevents the message from becoming background noise:
| Step | Operator action | Evidence of completion |
|---|---|---|
| Acknowledge | Assign the alert to one person and note the first seen time. | Named owner and a ticket or tracked thread. |
| Identify | Open Instantly Email Accounts, filter for the reported account or error, and inspect the provider message. | Exact account state and provider error, kept in private systems. |
| Repair | Follow the provider-specific reconnect path. If a permission, billing or policy issue caused the error, resolve that first. | Account changes from error to active in Instantly. |
| Verify send | Check the affected campaign's status, assigned accounts, schedule, limits, eligible leads and Analytics → Activity. | A fresh relevant send event, or an explicit reason the campaign is still waiting. |
| Close | Record the cause and whether more campaigns share the mailbox. | One resolved owner task, with follow-up for repeated errors. |
An account can be reconnected while the campaign remains paused, outside its schedule, at its daily cap or out of eligible leads. Our campaign-not-sending checklist separates those branches. Conversely, a campaign may show recent send activity while one of several accounts is unhealthy; verify the specific sender, not only an aggregate campaign count. An Email sent event is not an inbox-placement test.
Failure cases to plan for
- No Slack message appears. Confirm that the selected event is Email account error, the chosen campaign is the one affected, the webhook still belongs to the intended channel and the Instantly integration remains enabled. Check plan eligibility. If all settings look correct, ask Instantly support about event delivery; its public help does not document a retry contract.
- The alert lacks enough context. Open Instantly for the actual account and provider error. Don't copy a sender password, OAuth token, raw lead list or full reply text into Slack. Attach only the minimum safe identifier your team's policy allows.
- Several campaigns use one failed account. One repair may restore the account, but each selected campaign can have different status, capacity and lead eligibility. Keep a short campaign-to-owner inventory and verify each affected campaign.
- The operator is away. Add a backup and a clear escalation interval chosen by the team. The article does not assume Slack automatically assigns or escalates a task.
- The account keeps failing. Record frequency and provider reason. A recurring OAuth, tenant-consent or mailbox policy failure needs root-cause work; repeatedly reconnecting without diagnosing it is not a durable fix.
A simple weekly audit
Review the list of active campaigns, their selected alert channel, the named owner and whether the channel still exists. Spot-check account errors in Instantly against tracked Slack tasks, then inspect a sample of resolved tasks for a verified sender state. This is a process check, not a claim that Instantly exposes a complete alert-delivery log or that every error will create a Slack message.
For teams deciding whether Instantly is the right sender, the Instantly.ai review covers broader operating and pricing tradeoffs. Disclosure: OutboundXYZ has an Instantly affiliate relationship. The guide is documentation-led and does not claim a private integration test, lower downtime or improved deliverability.
