A Smartlead client login should expose only that client's assigned campaigns and email accounts, with permissions chosen for the work they actually need to do. Creating the client record is one step; assigning both campaigns and mailboxes is another. Before giving the login to a real client, verify the view using a controlled client account and check that no other client's assets appear. Smartlead's Agency View & Client Access guide documents those separate actions.
This guide covers agency-side access setup, not whether Smartlead is the right sending platform. We checked current Smartlead help pages on October 1, 2026. The steps are documentation-based; we did not enter a private agency account or test its permission enforcement. Our Smartlead review addresses the broader buying decision.
Decide what the client needs to do
Write down the access boundary before opening Add Client. A client who only needs visibility should not be given campaign-editing ability because it happens to be available. Smartlead says its client form offers full or limited permissions, reply-category visibility controls, and optional email/lead credits. Its public guide does not enumerate every permission bit, so inspect the choices shown in your plan rather than treating “limited” as a guaranteed read-only role. Smartlead's client-access instructions describe the controls.

This table is an access design worksheet, not a list of exact Smartlead role names. If a needed restriction is absent in your account, do not promise it in a client contract. Ask Smartlead support which controls your plan provides, or use a reviewed report instead of a login.
Step 1: Create the client record
In Smartlead, open Client Access from the left navigation and choose Add Client. Enter the client's identity and your agency/company details requested on the form. Smartlead's new-client guide says the form requests a name, company name, email and password, then sends the client their login details after creation. Share access through the product's intended invitation flow, not an agency administrator's login; never put credentials in a campaign brief or report.
Choose full or limited permissions based on the agreed job. In a multi-client agency, start with the narrower option and verify what it permits. In the Remove Categories control, decide which Master Inbox reply categories the client should not see. For example, an internal quality-review category may contain operator notes; a client who needs to work interested replies may need that category visible. Hiding a category is a visibility choice, not a substitute for assigning the correct campaign and mailbox.
If the client will manage campaign volume, review Enable Email & Lead Credits and set deliberate limits. If the client is viewing results only, do not turn on management allowances merely to complete the form. Smartlead says the credit settings can be edited later. Save or create the client, then confirm the record appears in Client Access. These controls are all shown in Smartlead's agency-view guide.
Step 2: Assign the correct campaigns
For a new campaign, Smartlead's agency guide says you can select the client in its General Settings. Its new campaign walkthrough also describes an optional Client ID during setup. For an existing campaign, use the campaign's three-dot menu on the main dashboard, allocate it to the client and save. Record the campaign name and client association in your agency handoff checklist; a similar campaign name is not enough to distinguish two customers.
Do an inventory rather than assigning everything with a familiar naming pattern. Include active, paused and draft campaigns if the client legitimately needs them. Leave internal tests and other clients' campaigns outside the assignment. If your agency migrates a campaign from one client to another, treat that as an access change and review associated leads, replies, mailboxes and reports before the new client logs in.
Step 3: Assign the correct email accounts
Open Email Accounts, select the intended sending account, go to Management, choose Add Client, select the client and save. Smartlead documents that path in its agency guide. For multiple accounts, its bulk assignment guide describes selecting the specific accounts and using Bulk Update → Management → Add Client. Check the selected addresses before saving a bulk operation; one misplaced mailbox can expose another customer's sender identity or replies.
Campaign and mailbox assignment are distinct. A client may have a campaign listed but be unable to see an expected sending inbox if its account was never associated. Conversely, associating a mailbox with the client does not prove the right campaign is in their view. Inspect both lists. Smartlead's campaign setup guide separately shows which sending accounts are attached to a campaign; client visibility and campaign sending assignment solve different problems.
Step 4: Verify the view before handoff
Use a controlled client login or the product's client preview, if available, to run this check. Do not use another customer's credentials to test an agency setup. The pass condition is concrete:
- The client sees only the intended campaign names and sending addresses.
- The intended reply categories and conversations are visible; excluded internal categories are not.
- The account can perform only the actions agreed in the permission worksheet. Attempt harmless view and edit checks without launching a campaign or sending mail.
- Email and lead credits match the client's operating agreement, if enabled.
- A later campaign or mailbox added for this client is assigned explicitly; do not assume a new asset inherits visibility from its name or creator.
Capture the date, the tested role and the asset names in an internal checklist, without saving passwords or message content. Have the client confirm which person will own replies and reporting questions. A live dashboard gives visibility, but it does not explain why a metric changed. In a September 2024 Smartlead reporting walkthrough, Jan argued that weekly numbers need prior-period context so a client can see the trend; this is his historical reporting advice, not a current claim about Smartlead's dashboard or measured retention.
Troubleshooting access mistakes

Do not solve a missing campaign by sharing an administrator account. That turns a narrow client-view issue into access to the wider agency workspace. If the saved associations look correct but the client view disagrees, document the affected IDs and ask Smartlead support to investigate without sending raw client data in a public ticket.
Keep reporting ownership separate from login access
Client access can let a customer inspect live Smartlead activity. It does not by itself create a contextual weekly report, decide whether replies are qualified or reconcile downstream CRM outcomes. If the agency is responsible for sales handoff, define that in the operating process; our Smartlead and Make integration guide gives one example of routing reviewed interested replies into a CRM.
